Privacy Policy and GDPR Compliance

We are GDPR compliant here at Matt Valentine-Chase. We collect very little information, most is collected via Google analytics to assess website performance.

The type of information we collect:


We receive, collect and store any information you enter on our website or provide us in any other way, such as signing up for our newsletter*, where we collect your email address. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet. We also collect your purchase history and details added when paying via a third party payment processor. Namely: email address, physical address (where attached to your payment processor account), account (your) name and amount paid/to be paid. We do not directly collect, store or see your card details as these are collected by the payment processor, a third party. We are not responsible for these details or how they are stored.

 

We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. Although we do not directly store this information - it is stored by Google analytics - we advise, and use ourselves, a VPN for added peace of mind.

 

How we collect your information:

When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated above only. With regard to transactions, these are stored by the third party payment processor and we are not responsible for how these are collected or stored.

Why we collect this information:

We collect the above mentioned anonymous and/or personal and non-personal Information for the following reasons:

  1. To provide and operate this website;

  2. To provide our customers with fast response times

  3. To book appointments

  4. To take payments (via a payment third party facilitator)

  5. To collect statistical data which we or our business partners (only ever third party payment processors, we never share other data) may use to provide and improve our respective services to you, the customer; 

  6. To be able to contact our customers and users with general or personalised service notices for example, if their therapist is ill and needs to cancel

  7. To assess whether our customer is suitable for therapy

  8. To record our customer's progress through therapy (where appropriate***) and to signpost to relevant services where necessary and in emergency situations, such as contacting our customer's GP or emergency services

  9. To comply with any applicable laws and regulations.

 

How we store, use, share and disclose your information:


Our business is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. This data is usually non-personal but not always. See above regarding IP addresses and how to be anonymous online. You can have your data permanently removed from our website provider's platform by emailing. Please note if the only information we store about you is your IP address you will need to provide this. To have your mobile number removed from our business mobile simply text 'REMOVE GDPR' to: 07925185206**.

We do not handle direct payments. We therefore do not store ANY payment details related to your purchase on this website. As above, card details are only seen and stored by our payment facilitator. To have your details removed from them, you will need to email them directly. We can provide you with their details if you email us with this request.

We may at times create, update, store and share (see below) clinical notes or therapy notes. These are not currently kept electronically. They are paper notes and do not apply to most customers***. The notes are kept locked and are anonymised and cross referenced. No identifying information is kept upon said notes***.

 

We do not share your: email address, phone number, name, physical address, IP address or clinical notes*** with ANYONE, except in circumstances that require this by law: or for reasons contained within the therapeutic contract where it is deemed necessary to liaise with medical, therapeutic, legal, law enforcement or other authorities for reasons mentioned in the T's and C's of the contract.

 

How we communicate with site visitors:

 

We may contact you to notify you regarding your account, your contract (written or verbal) to pay for services received, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires (only when signed up to our newsletter*), to send updates about our company, or as otherwise necessary to contact you to enforce our Terms of Service, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone, text messages and postal mail.

 

Cookie policy:

 

We use google analytics to collect information as stated above to enhance and assess website performance. See 'Use of Cookies' and leave site if you do not accept the use of cookies. You can also use cookie blocking apps if you do not want cookies stored on your computer. Most actions and applications on this website will still work. Do be aware that some actions  might not work efficiently and loading time may be reduced.

We are not responsible for how third party services or apps use cookies. Please refer to google analytics for their Privacy Policy on cookies.

Withdrawing your consent and your right to be forgotten:

If you don’t want us to process your data anymore, please contact us. Any information stored directly by us will be removed. We will make it clear is your information is stored by third parties and what to do about this. There may be restrictions to what data we can delete. For example, where our insurance policy requires clinical notes are kept for a minimum time. Other restrictions may be required by applicable law.

Privacy Policy Updates:

We reserve the right to modify this privacy policy at any time, so please review it frequently. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.

 

If you would like to: access, correct, amend or delete any personal information we have about you, you are invited to contact us.

Notes: This GDPR Privacy Policy  forms a part of our Terms and Conditions of Service. Also to be noted:

* We no longer send out the newsletter. This therefore dos not apply.

** We reserve the right, as mentioned above, to use your mobile number to chase payment or to confirm your appointment. However, we never canvas or contact customers unless they are known to us.

***Due to the nature of most therapeutic interventions on this site we rarely keep notes for reasons of anonymity and safety for our customers. In such cases, the above does not apply. ​
